Privacy Policy

1. Who we are

PropLink ("we", "us", "our") is a property analytics platform operated from the United Kingdom. Our registered website is proplink.click. If you have any questions about this policy, contact us at contact@proplink.click.

2. What data we collect

Account data. When you register, we collect your email address and (if applicable) your name and profile picture via OAuth providers such as Google, Facebook, or Twitter/X.

Listing and link data. We store the property listings and short links you create, including destination URLs and labels you provide.

Click analytics. When a visitor follows one of your short links, we record the time, IP address, HTTP referrer, and user-agent string. We pass the IP address to a third-party geolocation API (ipapi.co) to derive approximate country and city; the raw IP address is stored only transiently during that lookup and is retained in our database solely to allow deduplication of clicks.

Usage data. We collect standard server logs (pages visited, timestamps, browser type) for security and performance monitoring.

Site analytics. Our public marketing pages (not the logged-in application) use Umami, a cookie-free analytics service, to measure page visits in aggregate — page URL, referrer, browser and device type, and approximate country. We see only aggregated statistics; Umami does not use cookies and does not track visitors across other sites.

3. How we use your data

• To provide, operate, and improve the PropLink service.
• To authenticate you and keep your account secure.
• To display analytics dashboards to you about your own listings.
• To send transactional emails (account confirmation, password reset, click alerts you have opted into).
• To comply with legal obligations.

We do not sell your personal data to third parties. We do not use your data for advertising profiling.

4. Legal basis (UK/EU users)

We process your data under the following lawful bases under UK GDPR and the EU GDPR:

• Contract — processing necessary to deliver the service you signed up for.
• Legitimate interests — security monitoring, fraud prevention, and service improvement.
• Consent — where we ask for it explicitly (e.g. marketing emails).

5. Third-party services

We share data with the following sub-processors solely as needed to operate the service:

• ipapi.co — geolocation lookup for click IP addresses.
• Umami — privacy-focused, cookie-free visitor analytics on our public marketing pages.
• Google OAuth — if you choose to sign in with Google.
• Facebook OAuth — if you choose to sign in with Facebook.
• Twitter/X OAuth — if you choose to sign in with Twitter/X.

Each provider is governed by its own privacy policy. We do not control how those providers handle your data on their platforms.

6. Data retention

We retain your account data for as long as your account is active. If you delete your account, your personal data is deleted within 30 days, except where retention is required by law. Anonymised, aggregated analytics data may be retained indefinitely.

7. Your rights

Subject to applicable law, you have the right to access, correct, export, or delete your personal data, and to object to or restrict certain processing. To exercise any right, email contact@proplink.click. We will respond within 30 days.

8. Cookies

We use a single session cookie to keep you logged in. We do not use advertising or tracking cookies. Our public marketing pages load Umami, a privacy-focused analytics service that sets no cookies (see section 5); no analytics scripts are loaded inside the logged-in application.

9. Security

All data is transmitted over HTTPS. Passwords are hashed using bcrypt and are never stored in plain text. We conduct regular dependency audits and static security analysis as part of our development process.

10. Changes to this policy

We may update this policy from time to time. We will notify registered users by email of any material changes. Continued use of PropLink after the effective date constitutes acceptance of the updated policy.
